Using DataMold

Working with responses

The data table, filters, saved views, charts, export, import and backups.

Every response lands under Data, one table per form. Pick the form from the side panel to open its table.

The data table

  • Each response has a short reference code, the time it arrived, where it came from (hosted page, embed, API, import, or typed in by your team) and its answers.
  • Click a column heading to sort by it; click again to reverse.
  • Open a response to read all of it, edit it, or download its files.
  • Add a response by hand — for an answer given on the phone or on paper.

Filtering

The search box matches any answer and the reference code. For more, open Filter and add conditions on any field — the same conditions as show-if rules — combined with all or any. You can also filter by stage, tag, the date range a response arrived in, and where it came from.

Every answer is indexed as it arrives, so a field you added five minutes ago filters and sorts as fast as the date does.

Saved views

Save a filter and a choice of columns as a view, and come back to it in one click. A view can be kept for yourself or shared with the team. Saving views needs the Editor role or above.

Stages and tags

Move responses through stages as you work them — by default New, In progress, Done and Rejected — and label them with tags. Both are set per form (up to 50 of each) and both can be filtered on. Select several rows to change them together, mark them as spam, or delete them.

Reports and charts

Under Reports, build a page of figures from your responses: counts, sums, averages, minimums and maximums, grouped by any field, shown as a figure, a table, or a bar, line, pie, doughnut or trend chart, with text blocks between them.

Exporting

Export on a form's table downloads a real Excel file (.xlsx) with one row per response. The first columns are the reference code, the time it was submitted, its stage, tags, status and source; after them come your fields, headed by their keys.

  • An export holds up to 50,000 rows.
  • Exported rows count as row views against your plan — see how usage is counted.
  • The same export is available as CSV (UTF-8 with a byte-order mark, so Excel on Windows reads it correctly) and as JSON through the API.

Importing

Bring existing answers in from an Excel file (.xlsx), a CSV (comma, semicolon or tab separated) or JSON:

  1. Upload the file. DataMold matches its columns to your fields and shows the first five rows.
  2. Check the mapping and change any column that went to the wrong field.
  3. Import. Every row is checked against the form's rules. Rows that fail are listed with the reason; the rest are added.

One import can hold up to 20,000 rows, and imported rows count as responses for the month. If the import would take you over your plan's monthly responses, nothing is imported.

Backups

Under Settings → Backup, download everything in your organization as one JSON file: forms and their versions, responses, views, reports, webhooks and settings — or a single form's. Uploaded files themselves are not included (their details are). A backup can be restored into the organization, merging with what is there or replacing it; you confirm by typing RESTORE.

Backups need the Admin or Owner role.
